# Calendar Appointment

> Connect Google Calendar and let your agent offer available appointment times

Use **Calendar Appointment** to let an agent check availability and book appointments during a conversation. Connect the Google account whose **primary calendar** should receive those bookings.

This is useful for consultations, product demonstrations, business visits, and scheduled callbacks.

## Before you connect

* Select the agent that should handle appointment requests.
* Have access to the intended business Google account.
* Confirm the agent's time zone in **Agent Settings**.
* Review **Knowledge Base → Business Information → Working hours**.
* Make sure your account has permission to edit the agent.

Working days and opening hours come from **Business Information**. The Calendar Appointment form controls the appointment length, how far ahead people can book, and how much notice is required.

## Connect Google Calendar

1. Open **AI Voice Agents** and select your agent.
2. Choose **Calendar Appointment**.
3. Select **Connect Google Calendar**.
4. Sign in to the business Google account you want to use.
5. Review and approve the requested calendar access.
6. Return to Valuez and confirm the calendar-connected message.
7. Check the selected agent before changing appointment settings.

> [!NOTE]
>
> The introductory screen mentions working days and hours. Edit those under **Knowledge Base → Business Information → Working hours**, rather than in the appointment settings form.

If you cancel Google sign-in, the connection is not completed. You can return to the agent and try again.

## Set appointment rules

After connecting, configure the following fields and select **Save**.

| Setting | What it controls | Allowed range |
| - | - | - |
| **Appointment duration (minutes)** | The length of each appointment | 5–240 minutes |
| **Booking window (days)** | How far into the future someone can book | 1–365 days |
| **Minimum notice (minutes)** | How much preparation time you need before an appointment | 0–10,080 minutes |

Use whole numbers. For example, a duration of **30**, booking window of **60**, and minimum notice of **120** means appointments last 30 minutes, can be booked up to 60 days ahead, and require two hours of notice.

The values in the screenshot are examples. Choose values that match your team's actual availability.

## Set working hours and time zone

1. Open **Knowledge Base → Business Information** for the agent.
2. Review the working hours for each day, including closed days.
3. Save the business information.
4. Return to **Agent Settings** and verify the time zone.
5. Test an appointment on an open day and a closed day.

Calendar availability combines your working hours, appointment rules, and existing busy events. Keep these settings accurate before allowing customers to book.

> [!TIP]
>
> Put unavailable periods on the connected Google Calendar as busy events. Then test that the agent offers another time instead of that period.

## What happens during a booking

A typical conversation follows this sequence:

1. The customer asks for an appointment or agrees to schedule one.
2. The agent asks which day suits them.
3. The agent checks available times.
4. The customer chooses a time.
5. The agent collects the required contact details.
6. The appointment is created in the connected calendar.
7. The agent confirms the booking after it succeeds.

Existing busy periods are checked when offering times and again before creating the appointment. If the chosen time is no longer available, the agent should offer an alternative.

The agent may already know a caller's phone number. In other conversations, it may need to ask for contact details.

## Test before customer use

Run a clearly identified test booking through **Test Agent** or your configured conversation channel.

* Ask for a specific day and choose an offered time.
* Confirm the agent reports a successful booking.
* Open the connected Google Calendar and check the event.
* Verify the date, start time, duration, and contact details.
* Try a busy time, a closed day, and a time inside the minimum-notice period.
* Remove the test event from Google Calendar when you finish.

A spoken confirmation alone is not enough for your first setup check: verify that the event actually exists in the correct calendar.

## Reconnect or disconnect

If Valuez reports that the calendar connection needs attention, select **Reconnect Google Calendar** and complete Google sign-in again.

To stop bookings, select **Disconnect** and confirm. The agent will stop checking calendar availability and creating appointments through that connection. Existing Google Calendar events remain.

## Troubleshooting

| Problem | What to check |
| - | - |
| Connection does not complete | Retry Google sign-in using the intended account and complete the permission step |
| Appointment settings are missing | Confirm that the calendar is connected |
| No times are offered | Check working hours, closed days, busy events, booking window, and minimum notice |
| Appointment appears at the wrong time | Verify the agent's time zone and the calendar's display time zone |
| Event appears in the wrong account | Check which Google account was connected; bookings use its primary calendar |
| Settings will not save | Use whole numbers within the allowed ranges |
| Connect or Save is unavailable | Ask the workspace owner to check agent-edit permissions |
